Who we are
Sam's Army's Mission 1 Life ("we", "us", "our") is a family-run, not-for-profit organisation based in South Yorkshire, working towards registered charity status, founded in memory of Sam Haycock. We are responsible for the personal information you give us (the "data controller"). You can reach us at samsarmy16@gmail.com or 07912 040502.
The information we collect
- When you contact us (through our forms, by email or by phone): your name, your email address or phone number, and whatever you choose to tell us.
- When you donate or fundraise: your name and contact details, the amount, and any message you include. Payments are handled securely by our donation platform, so we never see or store your card details.
- Photos and video: we take photographs and video at public events, and supporters sometimes share them with us. We may use these on our website and social media (see "Photos and your consent").
How we use your information
- To reply to your message or enquiry.
- To process and acknowledge your donation or fundraising, and to keep the records we are required to keep.
- To send you news and updates about Sam's Army, but only if you have asked us to.
- To run our water-safety awareness work.
Our lawful bases are your consent (for updates), our legitimate interests (replying to you and running the organisation), and legal obligation (keeping financial records).
Emails about your donation or fundraising
If you donate or fundraise, we may contact you about that specific donation or fundraiser, for example to say thank you, confirm details, or arrange handing over what you've raised.
We will only send you wider news and updates if you have opted in, for example by ticking the box on a form. You can opt out at any time by emailing us or using the unsubscribe link in any update. We will never sell or rent your details to anyone.
Who we share it with
We do not sell your data. We use a small number of trusted providers to run things: a donation platform to take donations, a form provider to deliver website messages to us, and email to reply to you. Our interactive map loads from OpenStreetMap. These providers only process your data on our behalf.
Cookies and analytics
This website does not use cookies or advertising trackers. The interactive equipment map loads map images from OpenStreetMap. If we ever add analytics or anything that uses cookies, we will update this policy and ask for your consent where the law requires it.
Our Donate page embeds our donation provider, Donorbox (which uses Stripe to process payments). When you choose to donate, they may set cookies that are necessary to handle your gift securely.
How long we keep it
We keep your information only as long as we need it: enquiry messages for a reasonable period, donation and fundraising records for as long as we are legally required to, and photos until you ask us to remove them or we no longer need them.
Your rights
You have the right to ask us to: see the information we hold about you, correct it, delete it, stop or limit how we use it, withdraw your consent, or provide it in a portable form. To do any of these, just contact us and we will respond within one month.
Photos and your consent
We feature real photos because they tell Sam's story honestly, and we also understand that circumstances change. If you appear in a photo on this site or our social media and would like it removed, or you've simply changed your mind, you can ask us at any time on our photo and content requests page, and we will take it down promptly.
Children
We deliver water-safety talks in schools. Any photography at schools is arranged with the school and with appropriate consent. We do not knowingly collect children's personal information through this website.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
